

Administrative:
· Provide high level of customer service to internal and external clients
· Welcome, greet and check in clients and vendors
· Assist marketing team with the organization, distribution and shipment of POS materials as requested from the field
· Maintain wine and spirits sample inventory
· Manage email account for wine and spirit sample requests
· Ship wine and spirit samples as needed
· Manage, order and organize shipping supplies
· Maintain and track the process of employee donations requests
· Perform general clerical and admin duties that include, but not limited to; multi-line switchboard, office supplies maintenance, daily incoming and outgoing mail distribution
· Coordinate the distribution of MLB and NBA tickets
Hospitality and Tasting Coordination
· Work with stakeholder to complete Hospitality Request Form and reserve office event space for events/tastings
· Coordinate and book attendees for events/tastings
· Manage Conference Room reservation process
· Act as point person for all Home Office visits from the field
· Help to set up and breakdown/cleanup of wine tastings in conference rooms
· Order meeting lunches/meals for as needed
Duties from Head of Sales and President
· Link sales calendar activities to the Head of Sales and the Regional Vice Presidents
· Weekly check-in with Head of Sales to understand sales meetings and travel
· Be central point-person to help keep Sales stakeholders aligned on events
· Act as point person to communicate corporate office updates to the Sales Team
· Coordinate, update and communicate Sales Event Calendar to stakeholders
· Assist with coordinating bookings and reservations for sales events at the Home Office
· Assist with coordinating needs for Sales Meetings
· Support President and Head of Sales for administrative tasks as needed, up to and including travel and schedule coordination
· Keep Director of HR informed and up-to-date on projects and sales calendar activities
Qualifications:
· Ability to communicate effectively and professionally
· Strong computer skills, including Excel, Word, Outlook
· Excellent attention to detail and organizational skills
· Self-starter and ability to look for areas to improve processes
· Ability to “multi-task” and handle various duties within a work schedule and prioritize with deadlines in mind
· Ability to work overtime when required
· Available Monday – Friday, generally 8:30 am to 5:00 pm
· 3-5 years of experience in an office administrative environment
· Experience supporting and assisting sales personnel in remote locations preferred
· Bachelor’s degree preferred
